Copy last week to start from a rota that already works.

A simpler way

A chain of steps, replaced by one move.

The old way

  1. Draw up a spreadsheet
  2. Send it round
  3. Field the questions
  4. Resend the changes
  5. Check who was late by hand

The rota lived in a file, and the clock had no idea it existed.

With Wrkbase

Copy last week and publish it

14 shifts published. 4 people were told.

From now on, each sign-in is checked against that person's own shift.

How it works

Start to finish,in plain steps.

  1. 1

    Start from last week

Copy last week into this one. Shifts land as drafts, and anything already there is skipped.

  2. 2

    Adjust the drafts

Add, move, or remove shifts. Approved leave shows on the rota, so you do not book someone who is away.

  3. 3

    Publish once

Each person gets one message with their week. Until then, only managers can see the plan.

  4. 4

    The clock follows the rota

Sign-ins are measured against each person's shift, not the office's nine to five.

Everything included

Building the rota6

  • A shift is one person, one date, a start and an end
  • Times in your company timezone
  • A note on any shift
  • Several shifts for one person in a day
  • Copy last week, without doubles
  • Approved leave shown as On leave

Publishing4

  • Drafts are visible to managers only
  • Publish a whole week in one click
  • One notification per person
  • Changes to a published shift notify that person at once

Attendance4

  • A published shift sets the lateness window for that day
  • Early leave measured against the end of the shift
  • Several shifts count from the first start to the last end
  • Drafts never affect lateness

For each person2

  • Their own published shifts, on any device
  • Ask the AI agent "when am I working this week?"

Limits

What it does not do.

Better to know now than after you have moved your team in.

  • No overnight shifts: a shift must end after it starts on the same day.

  • No open shifts, shift swaps, or availability requests.

  • No labor-cost forecasting or budget against the rota.

  • The monthly absent count still uses working days, not shift days.

Questions

Questions worth asking first

How do I build a rota?

Open Schedule, pick a week, and add shifts: one person, one date, a start time and an end time. Or press Copy last week and adjust. Everything you add is a draft until you publish it.

When do people see their shifts?

When you publish. Each person gets one notification for the week, and from then on they see their own published shifts. If you later change or remove a published shift, that person is told straight away.

Can employees see each other's shifts?

No. People without the schedule permission see only their own published shifts. The Boss, HR, and managers see the whole rota, drafts included.

Does the rota change who counts as late?

Yes. A published shift replaces office hours for that person on that day, so someone on a 12:00 shift is not marked late at 9:05. Leaving early is measured against the shift's end. Drafts never affect lateness.

What happens if I press Copy last week twice?

Nothing bad. It skips any shift the week already has, so you never get doubles.

Does it handle night shifts?

Not yet. A shift has to end after it starts on the same day, so a shift that runs past midnight cannot be entered.

Which plan includes shift scheduling?

Team ($8 per member per month) and Enterprise. Free covers tasks, time tracking, attendance, leave, chat, and HR for up to 5 people.
