Payroll and HR glossary: the terms, and what they mean in Wrkbase

This payroll and HR glossary gives short, exact definitions of the payroll, HR, time, and AI terms used across the product, including what each one doesn't do.

Payroll

Pay run
A batch of salary payments for one pay period. In Wrkbase a pay run is generated from each employee’s salary, adjusted with bonus, commission, and deductions while it is a Draft, then Approved (which locks it and notifies employees) and marked Paid once the money has gone out.Learn more
Payroll tracking
Recording and approving what each person is owed and paid, without moving money or filing taxes. Wrkbase does payroll tracking; a payroll processor such as Gusto or QuickBooks Payroll does payroll processing, including tax filing and direct deposit.Learn more
Salary-based payroll
Payroll where the amount comes from a fixed salary rather than hours worked. Wrkbase supports it alongside hourly pay: a salaried person is paid their salary, and tracked hours, attendance, and leave never change it.Learn more
Payslip
A per-employee PDF for one pay run showing base pay, bonus, commission, deductions, amount due, and amount paid. Every Wrkbase employee can download their own payslips.Learn more

Time and attendance

Automatic time tracking
In Wrkbase, a task’s timer starts when the task moves to In progress and stops when it leaves, when its owner logs out, or after 12 hours. There is no start button. Time can also be added to a task by hand.Learn more
Attendance (timekeeping)
The daily record of when each person signs in, takes breaks, and signs off. In Wrkbase it is a separate clock from task time tracking, checked against the company’s working hours.Learn more
Timesheet
A record of the hours a person worked in a week. In Wrkbase a timesheet fills in from the attendance clock, can be corrected with a reason, and is submitted for a manager to approve before it reaches payroll.Learn more
Overtime
Hours worked past a set threshold, paid at a higher rate. Wrkbase works overtime out by the day: minutes past your daily threshold are paid at your multiplier, 1.5 times by default. It applies no weekly, double-time, or state rules.Learn more
Rota (shift schedule)
The plan of who works which shift on which day. In Wrkbase a rota is built a week at a time, stays a draft until it is published, and a published shift is what lateness is measured against.Learn more
Geofenced sign-in
Allowing a clock-in only inside a set distance of a workplace. Wrkbase can record the location of each sign-in, or on Team and Enterprise refuse one outside every work location. Sign-off is never blocked.Learn more
Late sign-in grace period
Minutes after the start of the working day before a sign-in is flagged late. Each Wrkbase workspace sets its own, from 0 to 120 minutes.Learn more
Leave balance
Days of a leave type allocated, used, and remaining in a year. In Wrkbase, approving a request updates the balance and adds the leave to the shared calendar in one step.Learn more

Work

Automation rule
A rule that does something when something else happens. A Wrkbase rule has one trigger (a task, lead, or leave change) and one action (notify, create a task, post in chat, set priority, or reassign), and runs as the person who saved it.Learn more
Webhook
A message one system sends another the moment something happens. Wrkbase sends signed webhooks for task, attendance, leave, and lead events to an https address you choose.Learn more
Activity feed
A read-only Wrkbase chat channel where sign-ins, breaks, sign-offs, and task status changes are posted automatically, so the team can see what is happening without asking.Learn more
Performance score
Wrkbase’s automatic 0 to 100 score: tasks completed against tasks due in a week or month, smoothed so one miss on a light week doesn’t sink it. It never counts hours, attendance, or task priority, and it is not a performance review.Learn more

AI agent

AI agent
In Wrkbase, an assistant that turns a plain-language instruction into exact proposed actions, such as approving leave or creating a task, and runs them only after a person confirms. It re-checks permissions as each action runs and logs every one.Learn more
Agent action
One change the Wrkbase AI agent can make, out of 48 types across tasks, leave, attendance, salary, employees, HR, leads, chat, reports, and settings. Team plans include 500 actions a month; Enterprise is unlimited.Learn more

Security

Audit log
Wrkbase’s append-only record of every change: who did what, when, from which IP address and browser, including every AI agent action. The database rejects edits and deletes to it.Learn more
Custom role
A Wrkbase role you create and give any mix of 95 permissions, alongside the default Boss, HR, Manager, and Employee roles. Available on every plan.Learn more
Own vs. any permission
Wrkbase’s permission pattern where a person may act on their own records (own) or everyone’s (any), for example editing their own tasks versus any task. It is enforced on the server, not just hidden in the interface.Learn more
Two-factor sign-in
Signing in with a password plus a code from an authenticator app. Any Wrkbase account can turn it on and gets 10 single-use recovery codes.Learn more

Onboarding checklist
A list of tasks for a new hire’s first days. In Wrkbase it starts on its own when an invited employee accepts, using the newest template for their department.Learn more
Offboarding checklist
A list of tasks for someone leaving. In Wrkbase it starts on its own when a termination date is set.Learn more
HR letter template
A reusable letter, such as an offer letter or experience certificate, with placeholders like the employee’s name and start date. Wrkbase fills them in and generates a PDF in one of four letterhead styles, for nine letter types.Learn more
Compliance document
A visa, work permit, certification, or contract stored with its expiry date. Wrkbase reminds HR 30 days before one expires.Learn more
Employment history
A timeline of promotions, transfers, title, manager, status, and salary changes. Wrkbase adds entries automatically when those fields change, with old and new values.Learn more

Leads and finance

Lead pipeline
Leads grouped by stage. Wrkbase uses eight fixed stages: New, Contacted, Qualified, Opportunity, Proposal, Negotiation, Won, and Lost.Learn more
Lead conversion
Turning a won lead into a customer. In Wrkbase, conversion copies the lead’s details into Finance as a customer, ready to invoice.Learn more
Expense claim
A request to be repaid for a work expense, with a receipt. In Wrkbase it is approved or rejected with a reason, then marked paid from an account, which records the expense.Learn more
Reconciliation
Matching money received against what was invoiced. Wrkbase suggests matches between income and open invoices with a confidence score for a person to confirm or reject.Learn more
