What the PTO accrual calculator works out

PTO accrual is paid time off earned gradually through the year instead of all at once. This calculator turns a yearly allowance into what is earned each pay period and per hour worked, and the balance so far.

The formula

How it is calculated

  1. Turn the yearly allowance into hours

    Multiply PTO days by the hours in a workday. 15 days at 8 hours a day is 120 hours a year.

  2. Divide by the pay periods in a year

    120 hours over 26 pay periods is 4.62 hours of PTO earned every two weeks.

  3. Multiply by the pay periods worked

    After 10 pay periods that is 46.15 hours earned. Take away what has been used and you have the balance.

How do you calculate PTO accrual per pay period?

Divide the PTO hours given per year by the number of pay periods in the year. For 120 hours a year paid every two weeks: 120 / 26 = 4.62 hours per pay period.

How do you calculate PTO accrual per hour worked?

Divide the PTO hours given per year by the hours worked per year. For 120 hours of PTO and a 40-hour week (2,080 hours a year): 120 / 2,080 = 0.0577 hours of PTO for each hour worked. This method suits hourly and part-time staff, because PTO follows the hours they really work.

How many pay periods are in a year?

Weekly pay has 52, pay every two weeks has 26, pay twice a month has 24, and monthly pay has 12.

Is accrued PTO the same as a yearly allowance?

No. With accrual, time off is earned bit by bit through the year. With a yearly allowance (sometimes called front-loading), the whole amount is available from the start of the year. The total is the same; what differs is when it can be taken.
