What the payroll tracker works out
A payroll tracker is a record of what a business owes its people each pay period, and what has been paid. This one does the first half: it adds salaried and hourly pay for one period, puts bonuses on and takes deductions off, and shows the total.
How it is calculated
Work out salaried pay for the period
Salaried pay = employees x yearly salary / pay periods in a year. 6 people on $48,000, paid monthly: 6 x 48,000 / 12 = $24,000.
Work out hourly pay for the period
Hourly pay = employees x hourly rate x hours per week x 52 / pay periods in a year. 4 people at $18 for 30 hours a week, paid monthly: 4 x 18 x 30 x 52 / 12 = $9,360.
Add bonuses, take off deductions
$24,000 + $9,360 + $500 in bonuses - $200 in deductions = $33,660 for the month. Regular payroll for the year is ($24,000 + $9,360) x 12 = $400,320.

What should a payroll tracker record?
For each person and each pay period: the base pay, any bonus or commission, any deduction, the amount due, the amount paid, and the date it was paid. Keeping amount due and amount paid apart is what shows you who is still owed money.
How do I track payroll for hourly employees?
Multiply each person's hourly rate by the hours they worked in the pay period. This payroll tracker uses average weekly hours to estimate that; for the real figure, use the hours from a time card or a timesheet for the period.
How many pay periods are in a year?
Weekly pay has 52, pay every two weeks has 26, pay twice a month has 24, and monthly pay has 12.
Is this gross or net payroll?
Gross. It is what the team earns before income tax, and it leaves out employer taxes and benefits. For what one person really costs, use the employee cost calculator.
Can a spreadsheet work as a payroll tracker?
Yes, for a handful of people. It starts to slip when hours live in one file and pay in another, because every pay period someone copies numbers across by hand.
